Who We’re Looking For
We are seeking a detail-oriented and organized Accounting & Office Administrator to support our daily financial transactions and administrative operations. This dual-role position is ideal for someone who thrives in a fast-paced environment and enjoys a balance of numbers and people-focused tasks. You will play a key role in ensuring the smooth operation of our accounting workflows and the overall efficiency of our office.
Accounting Duties
- Process accounts payable and receivable transactions, ensuring accurate and timely vendor payments and customer billing
- Assist with preparation of financial reports and monthly reconciliations
- Prepare and send invoices, including AIA-style (Application for Payment) submissions to project based billing
- Reconcile credit card and bank statements monthly
- Manage the company’s expense reporting system, reviewing submissions for policy compliance and completeness
- Coordinate and maintain client prequalification packages and credit applications to support sales and finance efforts
Office Administration
- Maintain organized filing systems, company directories and rosters
- Serve as the first point of contact for the organization by greeting visitors and assisting callers in a professional manner
- Support HR with onboarding materials and scheduling
- Oversee incoming and outgoing mail, courier services and general office upkeep
- Support various departments by performing additional duties including vehicle registration and licensing coordination
The Skills & Experience
- 2–5 years of experience in accounting or administrative roles
- Associate’s degree or equivalent in Accounting, Office Administration, or related field
- Proficiency with Microsoft Office, especially Excel; experience with ERP systems a plus (Global Shop Solutions preferred)
- Strong organizational and multitasking skills
- High attention to detail and accuracy
- Excellent communication and interpersonal skills
- Ability to work independently and maintain confidentiality
